DEPOSIT & FINAL PAYMENT

Payment of the deposit and / or full payment certifies that you understand and accept all of the terms and conditions.

These conditions apply to independent visits. Group tours have separate deposit and cancellation policies, which are specific to the tour. All payments, deposit payments and cancellation amounts shown are per person. To confirm a reservation, the following deposit and final payment terms must be strictly observed and are required at the time of booking.

The deposit due per person is £ 365 or 25% of the cost of the tour, whichever is greater. We reserve the right to request additional deposits required by hotels and suppliers for peak periods such (but not limited to) Christmas, New Years, Easter and other holidays. Final payments are due 45 days prior to the start of the tour. For reservations received within 45 days of commencement of services, the full amount must be submitted at time of confirmation. Bookings received within 45 days of the start of the tour may be subject to a non-refundable Urgent Booking Fee of at least £ 95 per person to cover additional expenses incurred to expedite the booking.

FORMS OF PAYMENT

Check, Bank Wire Transfer, Paypal, Major credit Cards. Travelers making payments with credit card may be required to complete a Credit Card Authorization Form.

CANCELLATION PENALTIES FOR TOUR/LAND ARRANGEMENT

NewAge Travel’s cancellation policy applies as follows:

  • Cancellations made 45 days or more before the start of the tour will be charged a cancellation fee of 15% of the cost of the tour with a minimum payment of £ 295 per traveler.
  • Cancellations made 44-30 days prior to the start of the tour will be charged a cancellation fee of 20% of the cost of the tour with a minimum payment of £ 350 per traveler.
  • Cancellations made 29 to 17 days prior to the tour start date will be charged a cancellation fee of 25% of the cost of the tour with a minimum payment of £ 510 per traveler.
  • Cancellations made 16 days or less prior to the tour start date will be charged a cancellation fee of 100% of the cost of the tour, no refund.

Trip cancellation insurance is recommended

Domestic flights tickets are not refundable when alternative (land) arrangements are made.

No-shows, late arrivals, voluntary changes, or cancellations by travelers of visiting days or services during a visit are not refundable. Cancellation insurance is recommended.

Prior to the start of the tour, NewAge Travel reserves the right to cancel a tour and will refund all payments in full. NewAge Travel has never canceled a tour but would do so in its sole discretion if travelers’ safety was a concern. NewAge Travel is not responsible for any expenses incurred by travelers in planning a trip that is ultimately canceled.

Once travelers are at their destination in Africa, NewAge Travel will provide comparable alternative arrangements, if cancellation of a particular tour is deemed necessary. If travelers choose not to accept these alternative arrangements, this will constitute a voluntary denial of services and no refund will be given. Pro-rata refunds will be made if other arrangements are not comparable to the original tourist services. Warning: domestic flights can be replaced by land transport, if the schedule of domestic flights makes flights impossible within the constraints of a circuit and / or the dates of the circuit; in this case, missed flights are not refundable as the ticket price will be used to make other land arrangements.

TOUR REVISION FEES

A revision fee of £100 per person will be charged for any alteration or revision made to confirm your reservation after final documents have been issued. No changes are permitted whatsoever within 15 days of tour departure, any changes requested within 15 days will be treated as a cancellation, and penalties assessed with new services provided subject to revision.

NOT INCLUDED IN TOUR COSTS

Fees for obtaining a passport, visas, excess baggage charges, vaccines, travel insurance, airport departure taxes, airline tickets unless they are mentioned “included” in the trip, all items of a personal nature such as communication fees, room service, excess mileage at the traveller’s request or transportation not specifically listed as included.

CLAIMS & REFUND POLICY

Except for verifiable documented extenuating circumstances, there are no refunds whatsoever for any unused tour services including, but not limited to, accommodations, meals, internal flights, or sightseeing.

As NewAge Travel’s prices are based on contract rates, if a traveler cancels while the trip is in progress, there will not be any refund for any unused portion of the services.

TRAVEL DOCUMENTS, PASSPORT, AND VISA REQUIREMENTS

Every traveller must be in possession of a current passport valid for at least six months after scheduled return date, round-trip airline ticket/continuation ticket, and adequate funds for the duration of the stay. Obtaining a passport is the responsibility of each traveller. All travellers must consult with the appropriate consulates to determine if any visas are needed. Securing needed visas is the responsibility of the traveller.

A pre-departure information packet containing helpful general information on the destination booked, visa application forms, details on our trip insurance plan, and the official tour registration form will be delivered to the booking agent or traveler upon receipt of the required tour deposit and confirmation of the tour. Final documents including trip itinerary, emergency contact information, any airline tickets, luggage tags, travel documents any necessary vouchers will be delivered no later than 30 days prior to start of the service, provided full payment has been received by NewAge Travel.

LUGGAGE

On tour, please note that scheduled internal flights have a baggage restriction of 33 lbs per person. We recommend soft carrying baggage. Baggage and personal effects remain at the owner’s risk throughout the tour. NewAge Travel and associated companies shall not be liable for any losses or damage to baggage and personal effects as a result of negligence by airport baggage agents, hotel staff or other personnel not employed by NewAge Travel and associated companies, including but not limited to airlines, courier services, cargo staff, and the like. One average sized suitcase will be carried on safari, however, passengers, who will be travelling by light aircraft on safari must carry medium sized soft luggage or duffel bags when flying sectors in small light aircraft which have limited space for baggage and a weight restriction to be advised. City hotels do store luggage for guests while they are out on tour/safari.

HEALTH REQUIREMENTS

Persons who are not fit to travel long because of health restrictions, such as chronic illness, physical disability, advanced pregnancy or mental illness, should not participate in rigorous travel programs. Passengers who fail to inform NewAge Travel of such a condition(s) will be subject to the cancellation penalties described above and will assume the full risk of travelling in this state. NewAge Travel is not responsible for providing medical care or special accommodation.

NewAge Travel and associated companies reserve the right to disqualify a tour participant at any time if, in their sole judgment, a tour participant is not deemed medically fit to travel. NewAge Travel and associated companies assume no responsibility for the provision of medical needs, updates and/or medical accommodation. Our pre-departure information will provide general recommendations for all vaccinations or precautions necessary for the destination(s) booked, however, it is the responsibility of the passengers to check with their healthcare professional, for specific requirements. Malaria is endemic in African regions and precautions must be taken. Consult your doctor for advice. Prior to travel, the required vaccines, if any, must be documented by each passenger’s health practitioner on a valid vaccination certificate, which the traveller must carry to prove inoculation, if necessary. If a traveller is concerned about taking medications or receiving certain vaccines, consult your healthcare provider BEFORE booking.

RISKS

NewAge Travel draws your attention to the fact that there are certain inherent risks in international travel and to countries where wildlife is prevalent, and safari camps are by their nature remote. Your participation constitutes acceptance at your own risk.

It is your sole responsibility to seek and take all appropriate medical advice relevant to your health prior to departure as to whether you are fit enough to undertake the trip booked. NewAge Travel shall not be liable for illness, injury or death sustained on a program sold by NewAge Travel, which is not due to the gross negligence of NewAge Travel, its officers, employees, authorised representatives, or agents whomsoever.

LAND ARRANGEMENTS

The elements included in the cost of the visit are generally described in the itinerary and may include: Luxury or medium accommodation depending on the tour, based on two persons sharing a room with twin or double beds with private facilities (the right is reserved for the replacement of accommodation of similar category if necessary); hotel taxes and service charges; meals (B=Breakfast, L=Lunch, D=Dinner); planning, handling, marketing and all operating costs; any air transportation, internal land and/or sea; airport/boat/hotel transfers; advice for one piece of baggage per person at airports and between the transfer vehicle and the hotel lobby; all planned tourist arrangements; park and entrance fees; tourism amenities and local guides and leadership. Air conditioning is not necessarily available in every establishment.

ALTERATION TO TOURS AND ACCEPTANCE OF PASSENGERS

During the operation of a travel program, NewAge Travel and associated companies reserve the right to alter any route, itinerary, or other arrangements, as well as offer substitutes, or to completely cancel the whole or any portion of a tour, if air schedule or surface transportation charges, security matters, and/or events beyond their control make such alterations necessary in the sole opinion of NewAge Travel and associated companies. NewAge Travel reserves the right to decline to accept any person as a member of a tour should the presence of that person be prejudicial, disruptive, or negatively affect the positive conduct of the tour, or be contrary to the prevailing laws of the country visited.

USE OF PHOTOGRAPHY

NewAge Travel and associated companies reserve the right to take photographs during the operation of a tour and may use the same for promotional purposes. By reserving a tour with NewAge Travel, tour participants agree to allow their images to be used for the purpose stated. If a tour participant does not wish to allow his or her image to be used, he or she must advise the guide/escort at the commencement of the tour.

TOUR OPERATOR RESPONSIBILITY AND LIABILITY

It is the responsibility of NewAge Travel to provide the services listed with each tour itinerary. NewAge Travel includes this information with every quote.

All accommodations are double occupancy, bed & breakfast; including private baths. Comparable hotel substitutes will be provided if the planned accommodation is not available. For single occupancy, a single supplement will be applied. Day rooms are not included, unless otherwise indicated. The check-in and check-out times from the hotel are 2:00 p.m. (14:00 hours) and 12:00 p.m. (12:00 hours).

NewAge Travel reserves the right to make changes to the itinerary or to change hotels or other elements of the tour, if these are deemed necessary or desirable for the continuation of the tour, for safety reasons and security, or to avoid delays that would be detrimental to the circuit or its members. NewAge Travel is not responsible for delays or the consequences of any delay due to circumstances beyond NewAge Travel’s control. NewAge Travel will do everything possible to provide alternative and comparable services if any changes are made.

Regular domestic flights are sometimes postponed or canceled; NewAge Travel is not responsible for any such inconvenience and will use, where possible, the ticket price of missed domestic flights to make ground arrangements. If customers choose to decline overland arrangements, NewAge Travel will reimburse the cost of airline tickets when such amounts are reimbursed to NewAge Travel by the air carrier.

All luggage must have strong identification tags and must always be locked. NewAge Travel staff will assist travellers with lost baggage formalities at the airport. NewAge Travel will also do everything possible to convey lost luggage to its owner during the tour; all costs incurred by the transport of baggage are the responsibility of the traveller. Please Note: Baggage limits on domestic flights vary but are generally limited to one 10 kilogram (22 lb) item and one carry-on bag.

Additional services required due to changes in international flight schedules, illnesses or emergencies are the responsibility of the traveller. NewAge Travel staff will endeavor to assist travellers who may need to make new flight arrangements. This is done as a courtesy and does not imply any responsibility on NewAge Travel’s part to find or make new arrangements. The costs or penalties for such arrangements are the sole responsibility of the traveller.

The NewAge Travel Guide has the ultimate recourse to remove a traveller from a tour at any time, if that person’s continued presence is deemed to be detrimental to themselves or others, or if it adversely affects the quality of the tour and/or for the enjoyment of the group. A pro-rated refund will be made for missed activities, subject to refunds provided by vendors.

 

Travellers must obtain their own passport, entry visa(s) and health documents.

 

Travellers agree to comply with local laws and regulations and respect cultural practices observed during the tour. Travellers understand that living conditions and practices in West and Central Africa may not be the same as in their country of origin.

Travellers must be on time for all tour activities; there is no refund for missed activities. If travellers miss flights or other scheduled departures, the responsibility and cost of resuming the tour will be theirs.

Travellers with special needs or disabilities should notify NewAge Travel at the time of booking; failure to disclose in advance any physical or other restrictions, or the need for special accommodations, will make it impossible to meet those needs. Once notified, NewAge Travel will do everything possible to accommodate travellers and will inform travellers of local conditions they are likely to encounter.

For their own safety and for the smooth running of their visit, travellers are required to follow the requests and instructions of their escort/guide; any problem encountered during the tour should be immediately reported to the guide, so that the guide can remedy the situation. If the guide is unable to do so or you are not satisfied with the remedy, please contact the NewAge Travel office and report the problem.

Tips and gratuities, although not compulsory, are accepted as recognition of the quality of service by guides, drivers, restaurant staff and others. These tips and gratuities are not covered by the tour fee and are entirely at your discretion. Tips for porters are the responsibility of the NewAge Travel guide.

FORCE MAJEURE

“Force Majeure” means, in relation to NewAge Travel, any circumstances beyond the reasonable control of NewAge Travel (including, but without limitation, acts of God, explosion, flood, tempest, fire or accident, war or threat of war declared or undeclared, sabotage, insurrection, civil disturbance, requisition, sickness, quarantine, government intervention, weather conditions or other untoward occurrences).

If NewAge Travel is affected by Force Majeure, it shall immediately notify travellers of the nature and extent thereof. NewAge Travel shall not be deemed to be in breach of these terms and conditions or otherwise be liable to the traveller, by reason of delay in performance, or by nonperformance, of any of its obligations hereunder to the extent that any such delay or non-performance is due to any Force Majeure.

If NewAge Travel, and/or any of its travel suppliers, are affected by Force Majeure, they shall be entitled to, and may in their sole and absolute discretion, vary or cancel any itinerary or arrangement in relation to the trip. Payment of any refund by NewAge Travel to the traveller as a result of the nonperformance of any of NewAge Travel’s obligations hereunder shall remain in its sole and absolute discretion although NewAge Travel shall use its reasonable endeavors to reimburse the traveller where possible. However, NewAge Travel shall be entitled to deduct from any refund recoverable the reasonable actual and potential costs to NewAge Travel of the Force Majeure.

Regarding civil unrest, once NewAge Travel has investigated the prevailing situation, as it deems fit, it shall remain in NewAge Travel’s sole and absolute discretion whether to proceed with the trip. You may in such circumstances cancel the trip. However, if, after having made all reasonable and proper inquiries, NewAge Travel is of the opinion that the trip may proceed, no refund will be payable to the traveller and the provisions stated under Cancellations shall apply.

SINGLE ROOM POLICY AND SHARED ROOMS FOR SINGLE PARTICIPANTS

Due to intermittent shortages of accommodations on safari, a single room cannot always be guaranteed, even if paid for in advance. If single accommodations are not provided, an appropriate refund will be made upon your return. If you are travelling alone and wish to share accommodations, NewAge Travel does not locate roommates on your behalf.

AIRLINE RESPONSIBILITY AND LIABILITY

Airlines tariffs specify they are not to be held responsible for any act, omission or event during the time passengers are not on board their planes. The passage contract, when issued constitutes the sole contract between the airlines and such purchasers of these tours and/or passengers and shall be governed by applicable tariffs and the provisions of the Warsaw Convention, if applicable. Carrier liability for passengers’ baggage is clearly stated on the traveler contract included on all tickets or can be inspected at the offices of the carrier. Carrier’s liability for baggage shall in no event exceed the actual loss incurred by the passenger, subject to proof of the amount of the loss, and laws limiting the amount of damages available.

NewAge Travel is not responsible for airline or other third-party supplier bankruptcy, flight cancellation, flight delay, or lost luggage. To be protected against airline or other supplier non-performance, travelers must purchase travel insurance before the trip commences.
